Leaving Excel: when the spreadsheet becomes the problem

The spreadsheet is the most deployed management tool in the world — and the most misused. This guide gives the five objective signs it's time to leave, what an application really changes, and the no-big-bang migration method.

What the spreadsheet does very well

Let's start by doing the tool justice: for exploring numbers, building a budget, running a one-off simulation, nothing beats a spreadsheet. It's immediate, universal, infinitely flexible. The problem isn't the spreadsheet — it's its misuse as a shared database: when a file becomes THE register of clients, orders or stock, it's asked to do a job for which it has none of the necessary protections.

The five signs it's time to leave

Five objective symptoms, in increasing order of severity:

  • The file exists in several versions (“tracking_v3_FINAL_JPedit.xlsx”) and nobody is sure which is right.
  • Information is copied between tabs or files — a client's name lives in four places, spelled three ways.
  • More than one person enters data, and silent overwrites have started (“who erased my column?”).
  • Decisions are made on totals whose formula nobody can vouch for (hidden rows, forgotten filters, shifted ranges).
  • There is no history: impossible to know what changed, when, and by whom.

What an application concretely changes

A management application brings four structural guarantees a spreadsheet cannot offer. Uniqueness: each client, each order exists ONCE, referenced everywhere else — fixing a name fixes it everywhere. Integrity: impossible to attach an order to a deleted client, or type text into an amount field. Real sharing: one central database everyone reads and feeds, without overwrites or parallel versions. Reliable synthesis: indicators are computed on the database the moment you look — not copied over on Friday night.

The no-big-bang migration method

A good migration doesn't start with the data: it starts with the structure. Step 1: describe your current tracking in business language — the things tracked, their links, the statuses, the numbers you watch. Your spreadsheet is excellent documentation here: its tabs suggest the entities, its columns the fields, its colour codes the statuses.

Step 2: generate the application (the Sketch level, free with the Discovery plan, is enough for this validation) and confront it with three or four real cases from your week. That's when the spreadsheet's unspoken rules surface — the “remarks” column that actually held three distinct pieces of information.

Step 3: adjust the description and regenerate until the structure fits reality. Only then, step 4: switch — enter the current flow in the application, keep the old spreadsheet read-only as an archive. Migrate history only if it truly serves (often, the last few weeks of data are enough).

The traps of leaving the spreadsheet

First trap: reproducing the spreadsheet to the pixel. The 40-column grid was a spreadsheet constraint, not a need: a well-structured application replaces it with readable records and filtered lists. Describe the business, not the file.

Second trap: the big bang with full history migration. It's the surest way to never switch. The application takes the current flow; the archive stays readable in the old file.
